Registration & Payment
The early-bird registration period has ended on January 31, 2026 (JST).

Q. How do I register for the event?
A:  To participate in IHC2026, registration in advance is required.  Please find further details and proceed with the registration and payment from REGISTRATION

Q. I do not understand the registration system for this congress.
IHC2026 uses three separate systems for registration:
1. Confit: For registration for attendance of the congress.
2. ROSA (ISHS): For abstract submission for oral/poster presentations.
3. Art-Tourist system: For options which are not included in the registration fee (i.e., post-congress tours, Gala Dinner, 1-day technical tours, and Scientific events on Aug. 28). This system is currently under preparation, please check our website for updates.

Q. How can I check/update my registration details?
A.  Please log in Confit (the participant registration system), and select “View registration info”.

Q. How do I get my invoice/ receipt?
A.  We kindly ask that you download your invoice/receipt as follows:
1. Log in with A-Pass:https://ihc.confit.atlas.jp/login
2. Go to ‘Registration Info’ and click ‘Invoice Download’ / ‘Receipt Download’

Q. I would like an invoice addressed to my institution or company. How can I request it?
A. Please contact to the management office: reg-ihc2026@convention.co.jp

Q: I cannot find the VAT number.
A. Japan does not operate under the VAT number system, so we are unable to provide a VAT number.

Q. What happens if I don’t pay within the Early bird registration period?
A. The registration will be cancelled, and they will have to reapply the registration with regular fees or on-site fees.
However, the presenting author will be required to complete the registration and payment for the registration fee to be listed on the presentation program.

Q. What does the registration fee include?
A. Inclusion differs with the categories. Visit REGISTRATION and refer to "Registration fee includes" for details.

Q. Can I register and pay for the congress after my abstract has been accepted?
A. The payment for the registration is required before the program is finalized.
The presenting author is requested to complete the registration and payment to be listed on the presentation program.
However, if the abstract is rejected, the registration fee will be refunded upon a request.

Q. I registered for the event, but my schedule has changed. Can I get a refund?
A. We’re sorry, but no refunds will be issued for any reason after the payment has been completed. Additionally, once payment is made, you cannot change your registration category or cancel any accompanying persons. Please make sure to finalize all details before proceeding with payment.
However, if your abstract was rejected, please contact to the management office and we will arrange a refund upon request.


Credit Card Error
Q. I received an error code ER000 or ER997 during payment. What do these codes mean?
A. These errors usually occur due to one of the following reasons:
- The registration or payment page was left open for more than 20 minutes without any activity.
- The Back button was used during the payment process.
To resolve this issue, please return to the registration page and start the process again from the beginning.

Q. I received an error code ER900 during payment.
A. This Error code is that you encountered a 3D Secure authentication error while attempting to complete your credit card payment. This type of error typically occurs when the authentication process required by your card issuer is not successfully completed.
To help resolve this issue, we kindly suggest the following steps:
1. Ensure your card is enrolled in 3D Secure (e.g., Verified by Visa, Mastercard Secure Code).
2. Check with your card issuer to confirm that your card supports 3D Secure and that there are no restrictions or blocks on online transactions.
3. Try using a different browser or device, as technical issues may sometimes interfere with the authentication process.
4. Attempt the transaction again, ensuring that all required authentication steps are completed.


Student Category 
Q. Are there any discounts for students?
A.  Yes. We offer a student registration category.
Visit REGISTRATION and refer to “Category and Registration Fee” for details.
Those who apply for “Student” are requested to upload the student ID card indicating his/her student status in the registration process.

Q. Are there any other documents accepted as the proof of student status?
A.  Yes. An official certificate proving your current enrollment issued by your university is acceptable.


Accompanying Person
Q. How can I register an accompanying person?
A.  An accompanying person can be registered from your Confit account (the participant registration system).
Please note that the accompanying person will not be allowed to attend scientific sessions or give oral/poster presentations.

Q.  How much is it to register an accompanying person?
A.  ・Regular period fee (February 1, 2026 – June 15, 2026) : JPY 40,000 per person
     ・On-site period fee (June 16, 2026 – August 28, 2026) : JPY 50,000 per person

Q.  What does an accompanying person have access to?
A.  Will have the access to the following:
・Entry for exhibition zone
・Opening ceremony and welcome reception on Aug. 23
・Coffee break
・Complimentary lunch for Aug. 24, 25, 26, and 27
・Opportunity for optional cultural experience tours for accompanying person (additional application and payment is required)
NOTE: Accompanying person is not allowed to enter scientific sessions, and not given an opportunity for oral or poster presentation.

Q. How can I apply for an invitation letter?

A. No. The invitation letter application mentioned in the REGISTRATION page is not intended for visa application purposes.
It is intended solely to confirm that the IHC 2026 will be held.

Financial Support
Q. Do you offer financial support?
A.  No.  The IHC2026 is unable to provide financial support, waivers, or additional discounts for the registration fee. 
There are discounted rates for students and participants from developing countries.

Q. Are there any scholarships or financial support available for people from developing countries?

A.  We have prepared a special registration fee for developing countries, and you can find your country's category at the URL below.

The countries that qualify for the discounted registration are those classified by The World Bank in the “low-income” or “lower-middle-income” categories based on the current 2025 fiscal year definition.

Q. Are there any scholarships available for international students?
A.  Unfortunately, we are unable to offer any scholarships or financial support for students.

Status of Abstract Submission

Q. How will I be notified about the acceptance of my abstract?
A.  Notifications regarding abstract acceptance and assigned presentation types will be sent by email from symposiacontributions@ishs.org.

Q.  How can I check my assigned presentation type?
A.  Please refer to the "Presentation method confirmed by the convener" field in the acceptance email sent from symposiacontributions@ishs.org.

Q.  In my acceptance email, the presentation type method was stated "to be confirmed", "No preference", what does this mean?
A.  This indicates that your final presentation type has not yet been determined by the conveners.  
To confirm the updated status and presentation type of your submission, please contact the conveners of the relevant symposium.

Q.  How can I confirm the latest status of my presentation type?
A.  Please contact the conveners of the relevant symposium directly.

Q.  What happens if I have not completed my registration and payment at the time my abstract is accepted?
A.  If registration and payment are not completed, the abstract will not be included in the program.

Q. Do I need to pay both the abstract submission fee and the conference registration fee (on Confit) for my abstract to be considered?
A. For ISHS Individual members, the abstract submission charge is fully waived. Therefore, only the conference registration fee (on Confit) is required.
If you are not a member of ISHS, and do not plan to become one, you must pay both fees.

Abstract Modification
Q. How can I edit my abstract submission?
A.  Please contact the conveners of each symposium to which you have submitted your abstract.

Q.  Until when can I modify my submitted abstract?
A.  Abstract modifications are accepted until the end of February.

Q.  Where do I contact to request the abstract modification?

Acta Horticulturae Manuscript Submission
Q. When is the deadline for manuscript submission?

Q.  How can I submit my manuscript to Acta Horticulturae?
A.  There are 2 ways to access the ROSA system for submission;
・Via the Link in Your Email: Use the unique URL provided in your abstract acceptance email from symposiacontributions@ishs.org to access the submission page directly.
・Via Your ROSA Account: Login from Access to ROSA.  After log-in, select author task of the corresponding symposium from the list, then “edit existing submission” link will be active. From this link, you can also submit the manuscript.

Q.  Are there manuals or guidelines I should refer to before submitting my manuscript?
A.  Please refer to the following resources before the submission:

Q.  Do all oral presenters need to submit a manuscript?
A.  Yes.  All oral presenters, including invited and keynote speakers, must submit a manuscript for publication in the Acta Horticulturae proceedings.

Q.  Do poster presenters need to submit a manuscript?
A.  Presenters of posters are strongly encouraged to prepare and submit a manuscript for publication in the Acta Horticulturae proceedings.

Q.  What happens if an oral presenter does not submit a manuscript?
A.  Oral presenters Oral presenters who fail to submit a manuscript for publication in Acta Horticulturae or the ISHS Scientific Journal may be refused the floor for making their oral presentation.

Q.  Where can I find the Acta Horticulturae author guidelines?

Q.  Do I need to register to submit a manuscript?
A.  Registration is mandatory at the time of abstract submission, to be included in the program and for the work to be published in Acta Horticulturae.  Failure to register will result in the withdrawal of your abstract and manuscript.

Q.  What happens if I do not complete the registration?
A.  If the registration and payment are not completed, your abstract and manuscript will be withdrawn and will not be included in the program or published.

Q.  Does submitting a manuscript to Acta Horticulturae prevent me from publishing the work in a peer-reviewed scientific journal?
A.  Submission of a manuscript to Acta Horticulturae does not preclude aspects of the work that are contained in a proceedings manuscript from being published in a manuscript prepared for a peer-reviewed scientific journal. However, author(s) must be aware that some scientific journals may have restrictions on publication of material that is very similar to material that has been published in conference proceedings. Publication in Acta Horticulturae must be approved by all co-authors, if any, as well as – tacitly or explicitly – by the responsible authorities at the institution where the work was carried out.

A.  The scientific program for the IHC2026 comprises of 27 symposia that reflect the  the theme of “Exploring the Diversity of Horticulture”. 

Q.  Can I still submit abstracts?

A.  No.  The submission period for abstracts has closed (15 January, 2026)

Q. When will the list of speakers be published?
A.  We will announce the program, including the list of speakers, at the end of April 2026.

Q.  Do I need to register to be included in the presentation program?
A.  Yes.  The Presenting Author must complete the registration and payment for the registration fee to be listed on the presentation program.

Q.  What happens if my abstract is rejected after I register?
A.  If the abstract is rejected, the registration fee will be refunded upon a request.

Q. Can I give the presentation online?

Q:  When will visa related documents for IHC2026 be available?

A.  Visa applications for short-term stays in Japan can be submitted starting three months before your intended date of entry.  Since IHC2026 begins on August 23rd, 2026, the issuance of documents will start from the end of May, 2026.

Q.  How do I know if I need a Visa to enter Japan?
A. Visit Exemption of Visa (Short-Term Stay) (official website of the Ministry of Foreign Affairs) to confirm whether your country is exempt from visa requirements or if you need to apply for a visa.

Q.  How do I apply for Visa support?
A. Visa support documents can be requested through the application system on the congress website.
Please note that the issuance of documents will start from the end of May, and it takes approximately 1 week to issue these documents.

Q.   Does receiving visa support guarantee visa approval?
A. No. The issuance of visa support does not guarantee visa approval.
Visa approval is solely at the discretion of the Japan Embassy or Consulate in your country.

Q.  Who can apply for Visa support?

A. Visa support is available to participants who:
・Have completed their congress registration from Confit
・Have fully paid the registration fee.
A valid registration number (Confit ID) is required before applying.

Q.  Where can I apply for Visa support documents?

Q.  How much is the Visa Support?
A. The issuance fee is JPY13,200 per person.

Q.  Can accompanying family members receive visa support?
A. Yes. Visa support documents can also be issued for accompanying immediate family members (spouse, children, or parents).  An additional fee of JPY 1,100 JPY per accompanying person applies.

One-Day Technical Tour
Q.  What is the One-Day Technical Tour?
A.  It is a day trip scheduled on August 28, 2026, visiting facilities in prefectures neighboring to Kyoto Prefecture, the venue location.

Q.  When does the One-Day Technical Tour take place?
A.  August 28, 2026

Q.  How much is the tour?
A.  JPY 25,000 for each tour per person.

Q.  How many tour options are there?
A.  There are five tour courses, T1-T5.

Q.  Can I attend the Special Scientific Event and the One-Day Technical Tour on the same day?
A.  No.  The Special Scientific Event and the One-Day Technical Tour are scheduled for the same fay.  You cannot attend both.

Q. Can dietary restrictions be accommodated during the tour lunches?
A.  No.  We will not be able to accommodate dietary restrictions (vegetarian, halal, etc.), during lunch on the tours.  It is recommended to prepare your own food if necessary.

Q.  Where do the One-Day Technical Tours depart from and return to?
A.  All One-Day Technical Tours depart and return to ICC Kyoto, the main conference venue.


Post Congress Tour
Q.  What is the Post Congress Tour?
A.  Post Congress Tour are multiday tours offered after the IHC2026 conference.

Q.  When does the Post Congress Tour take place?
A.  From Saturday, August 29 2026 - Monday, August 31 2026.

Q.  How can I apply for the Post Congress Tour?
A.  Please visit TOURS for updates.

Q.  Are post congress Tour fee included in the congress registration fee?
A.  No. Participation in the Post Congress Tour requires additional fee.

Q.  How much is the Post Congress Tour?
A.  JPY 120,000 for each tour per person.

Q.  What kind of Post Congress Tours are planned?
A.  Participants can choose from 4 different types of tours planned visiting various parts of Japan.

Q.  Will I be able to schedule my flight back home for the last day of the congress tour?
A.  Not recommended.  Unpredictable road traffic conditions may affect the tour schedule and delay the arrival at the station. 
For this reason, we strongly recommend that participants do the following:
・Make their own accommodation arrangements for the night of Monday, August 31, 2026.
・Schedule their return travel on or after Tuesday, September 1, 2026.

Q.  Is accommodation on August 31 (the last day of the Post Congress Tour) included in the tour?
A.  No.  Accommodation on Monday, August 31, 2026 is not included.  Participants are requested to arrange their own accommodation for that night.


Tours for Accompanying Persons
Q.  What are Tours for Accompanying Persons?
A.  A half-day Kyoto city tours for accompanying persons during the conference period.  These tours are open not only to accompanying persons but also to all conference attendees.

A. Yes. However, there is no discounted fee for children. The participation fee is the same as the adult rate: JPY 18,000 per person.
Please note that drinking alcohol is prohibited for individuals under 20 years of age in Japan.

Q.  Is Confit registration required for accompanied persons attending the Gala Dinner only?
A.  No.  Registration on Confit is not required for accompanied guests who are only attending the Gala Dinner.
